Conference Centre
Booking conditions for group residential conferences:
Please note that the tariff supplied is for guidance only. The charges payable will be those prevailing at the time the conference takes place. We reserve the right to modify prices in the event of major rises in the cost of living, or other factors outside our control.
Value added tax is not payable on conferences whose major component is Christian teaching, and is not included in the rates quoted. If you are able to provide a programme reflecting this, along with evidence to support that you are a registered church or charitable organisation, and a statement confirming that you are charging everyone who is attending, then VAT will not be added to your final invoice.
At the weekend, we will make an additional charge of £9.50pppn when standard or budget twin/double or family rooms are used as singles and £12.50 pppn if the en-suite rooms are used for single occupancy.
Group bookings are subject to a minimum of a two night stay over a weekend.
Payment terms
1st Payment
- A non-returnable, non-transferable deposit is payable at the time of booking, in order to secure the places.
- The deposit is calculated as 10% of the value of the number of places guaranteed on the booking form.
- This will be calculated on the tariff current at the time of booking; however this tariff will be subject to increase and the total fee payable will be based on the tariff current at the date of the conference.
- We accept cheques, visa debit cards and all major credit cards.
- A 1.5% transaction charge will be added to the cost of your stay for the use of a credit card.
- There is no extra charge if you wish to pay by a visa debit card.
- Cheques will be accepted only if sufficient time is given for the cheque to clear in our bank account before the date of your stay. Cheques should be made payable to "Ashburnham Christian Trust".
2nd Payment
- A second payment is payable 12 weeks before the conference.
- This is calculated at 50% of the value of the number of places booked.
Final Payment
- The balance of fees is payable on arrival on receipt of your updated numbers and final invoice.
- We accept cash, cheques and all major credit cards. A 1.5% transaction charge will be added to the cost of your stay for the use of a credit card.
- There is no extra charge if you wish to pay by a visa debit card.
- We regret we are unable to accept payments from individuals within your group, so please ensure that you collect all monies due before arrival and pay in one lump sum at the Reception desk.
- By prior agreement only, your final invoice may be paid by BACs. Please talk to a member of our bookings team to arrange this.
Cancellation charges
- Cancellations and changes in numbers must be made in writing.
- Groups will be charged cancellation fees on the places cancelled or left unfilled. We strongly recommend you consider taking out insurance to cover these charges.
- However the Trust is prepared to waive these charges if the accommodation can be re-let to another group, therefore the more notice you give us, the more chance we have of re-advertising the space.
- The cancellation charges are calculated as follows:
- 10% when less than 12 months' notice
- 25% when less than 9 months' notice
- 50% when less than 6 months' notice
- 75% when less than 3 months' notice
- 90% when less than 1 month’s notice
- 100% when less than 2 weeks' notice
Damages and breakages
- Groups are responsible for the full cost of reinstatement or replacement in the case of damage.
Day Groups

An invoice will be available on the day of your visit and will be based on the numbers given to us in advance, not on the actual numbers of places taken up. Please ensure that you have a contingency fund for any shortfall in delegates.
Payment terms

- The deposit is calculated as 10% of the value of the number of places guaranteed on the booking form, or a minimum of £50.
- This will be calculated on the tariff current at the time of booking; however this tariff will be subject to increase and the total fee payable will be based on the tariff current at the date of the conference.
- If your booking is made within 15 weeks of arrival, then the deposit is calculated as approximately 50% of the value of the number of places guaranteed on the booking form, or a minimum of £75.
- We accept cheques, visa debit cards and all major credit cards.
- A 1.5% transaction charge will be added to the cost of your stay for the use of a credit card.
- There is no extra charge if you wish to pay by a visa debit card.
- Cheques will be accepted only if sufficient time is given for the cheque to clear in our bank account before the date of your stay. Cheques should be made payable to "Ashburnham Christian Trust".
Final Payment
- The balance of fees is payable on arrival on receipt of your updated numbers and final invoice.
- We regret we are unable to accept payments from individuals within your group, so please ensure that you collect all monies due before arrival and pay in one lump sum at the Reception desk.
- By prior agreement only, your final invoice may be paid by BACs. Please talk to a member of our bookings team to arrange this.
Cancellation charges
- Cancellations and changes in numbers must be made in writing.
- Groups will be charged 100% cancellation fees on the places cancelled of left unfilled.
- However the Trust is prepared to waive these charges if the meeting room can be re-let to another group of the same size. Therefore the more notice you give us, the more chance we have of re-advertising the space.
- We strongly recommend you consider taking out insurance to cover any cancellation charges.
Damages and breakages
- Groups are responsible for the full cost of reinstatement or replacement in the case of damage.
Individual Prayer Retreats
Booking conditions for individual guests:
- Guests are required to pay in full when booking. We regret this is non-refundable.
- All major credit cards are accepted and a 1.5% transaction charge will be added to the cost of your stay.
- There is no extra charge if you wish to pay by a debit card.
- Cheques will be accepted only if sufficient time is given for the cheque to clear in our bank account before the date of your stay. Cheques should be made payable to "Ashburnham Christian Trust".
- If an en-suite room is not available, we may be able to offer you a standard or budget room in the Conference Centre accommodation (subject to availability) at a discounted rate.
- We regret we cannot hold or reserve rooms for you without the full payment.
Please Note:
- As we are a Prayer Centre, we are not suitable as a venue for a family holiday. Older children may accompany you at our discretion, but they must be under your supervision at all times, particularly in the Prayer Rooms. The tariff for children under the age of 16 is half the adult rate, if sharing a room. We regret we do not accept babies or children under the age of 11.
- We respectfully ask day visitors to sign out and leave the premises before 6.45pm when Reception closes. We do not permit guests to sleep in the Prayer Rooms overnight.
- In order to bless other guests and staff sleeping nearby, we ask everyone on site to be quiet after 11pm. Residential guests may use the Tower Rooms in the Prayer Centre to pray in overnight, but we ask you to remember to be quiet when returning to your rooms.
- At all times we request that guests do not pray loudly in their rooms or listen to loud worship music to maintain the peace and tranquility of the setting and to bless others.
- Smoking and alcohol are not permitted anywhere on site.
- There are no self-catering facilities. Snacks and drinks are available in the main conference centre. Please do not bring your own food on site.
- All meals must be pre-booked. You can do this in advance or by 9am on the day at Reception, and you will be given a meal voucher. The meal times are fixed, so please arrive promptly.
- No pets are allowed at Ashburnham Place, except service dogs by prior arrangement.
- Towels, bed linen, hairdryers and tea and coffee making facilities are provided in your room.
- Wi-Fi Internet connection is available in most areas of the main Conference Centre, particularly in the Guest Lounge. Please note that due to our rural location, the connection speed and signal is not very good. No payment is required, but please collect the password from Reception. We regret that we no longer provide computers for guest use, so please bring your own laptop with you if required.
- In the case of damage or breakage, guests are responsible for the full cost of reinstatement or replacement.
- There is a £20 replacement fee for any keys not returned to Reception.
- Guests who cancel or wish to change their booking within 48 hours of their arrival date, or who do not turn up, are charged the full amount.
- Guests may make one change to their dates as long as they give more than 48 hours notice.
- If you wish to change the date, a new date must be agreed immediately. We regret we cannot hold credits or bookings open or offer a refund. Your booking and full payment will then be transferred to another date, subject to availability.
- Please bear in mind that we often turn guests away as we are fully booked. Therefore the more notice you give us, the greater the opportunity we have of blessings someone else with your place.
Events
Booking conditions:
- Please check availability of your chosen event first and we will happily reserve a room(s) for you for one week pending receipt of your booking form and deposit.
- Please complete both sides of the form and indicate if you have a medically essential dietary requirement, or if you need a ground floor room.
- Discounts are available for PACT (Partner of Ashburnham Christian Trust) members if mentioned at the time of booking. Please see our brochure or click here for details how to join.
- A non-refundable 25% deposit is required to confirm your place (except the Day Encounters which should be paid in full on booking).
- Please make cheques payable to "Ashburnham Christian Trust" or supply us with your visa debit or credit card details.
- All major credit cards are accepted and a 1.5% transaction charge will be added to the cost of your stay.
- There is no extra charge if you wish to pay by a debit card.
- The balance of fees will be payable 8 weeks before the event. Please make a note of the due date which will be written in your letter of confirmation.

Business Groups
